Relevant Experience:
Master/MBA in management, business administration, public administration, and supply chain from a HEC recognized university.
At least 10 years of relevant experience and 6 years in the same role.
Job Description:
Main duties and responsibilities of the position but not limited to:
1. General
Maintain compliance with policies and procedures at all levels.
Draft/update current SOPs and Policies to ensure compliance with the LPP's most recent sector practices and regulations.
Prepare weekly, monthly, and quarterly reports for Management.
Maintain strong collaboration between the program/project and operations teams.
Team management entails overseeing, mentoring, and giving technical assistance as needed.
Responsible for preparing and sharing the department's budget within the given time frame, as well as allocating suitable resources to guarantee smooth operations.
Represent the group in various forums as deemed necessary.
2. Administration
Ensure that the necessary administrative controls are in place and followed at all levels.
Maintain compliance with management choices.
Maintain complete contract management for partners, vendors, consultants, and service providers.
Ensure that all office leases are correctly prepared, maintained, and renewed on time.
Ensure that any incident or accident is reported to management in a timely manner, including all necessary documentation and paperwork.
Ensure that employees' travel and lodgings are as efficient and cost-effective as feasible.
Improve inventory and asset management by tightening controls.
Ensure effective and efficient event administration, including venue selection and other related activities.
Plan and manage the operations department's project phase-in/out procedure.
3. Procurement
Ensure strong procurement systems for a wide range of demands, including typical and unexpected emergencies, public tendering, and project-based procurement.
Ensure that procurement plans are created and implemented at all levels.
Ensure that all procurement processes are consistent with donor criteria.
Ensure that vendor evaluations and pre-qualifications are undertaken in a systematic and timely way to meet changing organisational needs.
Ensure that a vendor performance/feedback system is in place and utilised.
4. Information technology (IT).
Ensure that all network requirements and support, including hardware/software, are met.
Make that all IT gear, software, and databases are secure.
Plan and implement the most effective data backup solution for LPP personnel.
Assess and plan for the availability of IT resources for employees and the organization's future needs.
Ensure that all web services, including the web portal, are fully operational and accessible to all workers.
Ensure that end customers have uninterrupted services by providing proactive and timely troubleshooting.
